Summary

We focused this update on "Reviews" improvement. We made many enhancements to the "Questions" editor, allowing HR admins and managers to create even more customizable forms and decreasing the time for passing surveys for participants. We also improved the reports' summary to help managers spend less time analyzing reviews and making them more actionable for HRs and review participants.

A new interface for the review questions editor

We made many enhancements to the questions editor with the last update. That's why we simplified its' display as well. Now you can see the "minimized" version of the questions in the questions builder and expand them by clicking the "Edit question" button.

We added headers to help you organize your review by thematic sections, making it easier to navigate through the questionnaire when writing reviews or analyzing reports.

Now you can access 3 performance review templates in Plai, curated by our HR expert. These include:

How to create an Objective Cycle (OKR planning timeframe)

Objectives and Key Results are a powerful way to track professional and personal goals. By using Objective cycles, you can assign your Objectives to specific planning cycles and monitor that progress for your team by each cycle.

We made Objective Cycles easy to set up and customize to fit your unique company needs.

☝️ Note: Objective Cycle is a required field for each OKR. You cannot create an OKR without the Objective Cycle.

Setup

1. Go to “Objective cycle”

To create Objective cycles, go to Workspace settings → Objective cycles.

This section is available only for the user that has the role Admin.

Here you can see all Objective cycles split into sections:

Current cycles (cycles where “Start date” ≤ today ≤ “End date”)
Past cycles (cycles where “End date” < today)
Upcoming cycles (cycles where “Start date” > today)

Objective cycles move from the "Upcoming" to "Current", to "Past" sections automatically.

2. Create a new Objective cycle

Press the Create cycle button.

Input the details of the cycle:

Name (for example: “Q4 2020”);
Start and End dates (for example: “10/01/2020 - 12/31/2020”);

Login into Plai

To login into Plai, go to https://app.plai.team/login

The current options how you can log in into Plai are through:

Google (corporate or personal account)
Microsoft
Slack
Email / Password

| In Plai user's unique identifier is the email. That means you can sign up with an email/password, and then use Google with the same email to log in to your workspace in Plai (or vice versa). As long as your email stays the same, you'll always have access to the same account.

|| Note, the password must be min 8 characters long and must contain at least 1 lowercase letter, at least 1 uppercase letter, and at least 1 digit.

After login, we will redirect you to your Plai workspace if you have such.

If you don’t have any workspace, you’ll be invited to create a new one.

If you’re signing in for the first time, you’ll be asked to complete your profile.

Login in from the invite by email

If you received an invitation to the email, just click on the main button to navigate to the login screen.

How to use the HR analytics 📊

Before you begin, make sure you have Admin, HR Admin, or HR manager permissions.

In the "Analytics" tab, select one or multiple review cycles for analysis.
Pick up to 10 linear scale questions or score attributes from your performance reviews to compare the grades for each of them.

Picking up variables for analysis

You can filter your results by the following criteria:

Gender: compare the grades of employees by gender.
Location: compare the performance of your offices in different locations.
Birthday range: compare the performance of Senior vs. Junior level employees.
Start/end date range: compare by the tenure in the company.
User(s): exclude and include particular employees in your report.
Team(s): compare the average performance of specific teams.

Roles and permissions in Plai

There are several access level roles in Plai.

Admin

✅ Admins can:

Have access to the Workspace settings: values, integrations, billing, export.
Create/edit teams.
View and edit all public OKRs.
Invite new users
Edit other user profile info (but not the "Manager" field).
Edit Admin and Standard roles (but not the HR manager or HR admin)

❌ Admins don't have access to Reviews.
❌ Admins cannot change the "Manager" field for users (only HRs can do it).

HR admin

✅ HR admins can:

Create/edit teams.
Invite new users.
Edit other user profile info (including the "Manager" field).
Edit HR admin, HR manager and Standard roles (but not Admin roles)
Have access to all Review info.
Have access to all Review responses wherein the Visibility settings "Share with HRs" was checked.

❌ HR admins don't have access to the Workspace settings, and cannot edit Admin roles.

HR manager

✅ HR managers can:

Create/edit teams
Invite new users
Edit other user profile info (including the "Manager" field).
Edit HR manager and Standard roles (but not HR admin or Admin roles).
Have access only to Review responses wherein the Visibility settings "Share with HRs" was checked, and this HR manager was selected from the list.

In other words, HR managers are like HR admins but have access only to the Review cycle responses that were directly shared with these HR managers.
